Dragons RFC are seeking an enthusiastic and dynamic individual to join our club in a newly created role of Executive Assistant and Office Manager.

The Executive Assistant and Office Manager will provide high-level administrative support to the Chief Executive Officer and Board of Directors and oversee the daily operations of the office. This role requires a proactive, detail-oriented individual with excellent organisational and communication skills. The successful candidate will be a key point of contact within the organisation, ensuring efficient workflow and effective communication.

Key Responsibilities:

Executive Assistant Duties:

Administrative Support:

  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Handle confidential information with discretion and professionalism.

Meeting Coordination:

  • Organise and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Facilitate communication between executives and internal/external stakeholders.

Travel Management:

  • Arrange domestic and international travel, including flights, accommodations, and itineraries.

Project Management:

  • Assist in the planning and execution of special projects and initiatives as directed by the executive team.
  • Monitor project timelines and deliverables, ensuring deadlines are met.

Office Manager Duties:

Office Operations:

  • Oversee the day-to-day operations of the office, ensuring a productive and efficient work environment.
  • Manage office supplies inventory, ordering, and restocking as needed.
  • Liaise with vendors and service providers to maintain office equipment and facilities.

Administrative Support: 

  • Implement and maintain office policies and procedures.
  • Coordinate office events, meetings, and conferences, including logistics and catering.
  • Ensure compliance with health and safety regulations.

Staff Support:

  • Provide support to staff members regarding administrative tasks and office-related enquiries.
  • Facilitate onboarding of new employees, including workspace setup and orientation.

Qualifications:

Education and Experience (desirable):

  • Bachelor’s degree in Business Administration, Management, or related field preferred.
  • Experience in an executive assistant or office manager role.
  • Experience in managing office operations and providing high-level administrative support.

Skills and Competencies:

  • Exceptional organisational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritise tasks in a fast-paced environment.
  • High level of discretion and confidentiality.
  • Excellent problem-solving and decision-making abilities.
  • Strong interpersonal skills and the ability to work well with all levels of staff and external stakeholders.

  • Flexibility to work outside standard office hours as needed.
